Overview
This Refund Policy explains the circumstances under which Zendip LLC offers refunds. Our services are professional consulting, documentation, and technology services. Because work begins promptly upon engagement and many services involve immediate documentation preparation or government filing coordination, refund eligibility is structured around the stage of work completed.
Pre-Work Cancellation
If you cancel an engagement after signing the Scope of Work but before any work has commenced (and before any government or third-party filing fee has been paid on your behalf), you are entitled to a full refund of the deposit, less any administrative fee disclosed in the Scope of Work (typically a documentation and KYC processing fee, capped at fifty US Dollars).
Work-In-Progress Refunds
If you cancel an engagement after work has commenced, refunds are calculated as follows:
- Up to twenty-five percent of work completed: seventy-five percent refund of fees paid for that scope.
- Twenty-five to fifty percent of work completed: fifty percent refund.
- Fifty to seventy-five percent of work completed: twenty-five percent refund.
- Over seventy-five percent of work completed: no refund, but you receive all work-in-progress deliverables.
Percentage of work completed is assessed based on the milestones defined in the Scope of Work and is determined in good faith by Zendip LLC.
Non-Refundable Items
The following are not refundable under any circumstances once paid or filed:
- Government filing fees (state filing fees, EIN application fees, etc.)
- Registered agent fees
- Third-party platform fees
- Domain and hosting fees
- Any fee paid directly by Zendip LLC to a third party on the client's behalf
- Discovery and KYC processing fees
Outcome-Based Disputes
Refunds are not available based on the outcome of a third-party decision (for example: government rejection of a filing, payment processor decline, banking decline, marketplace policy decline, or buyer rejection of a shipment), unless that outcome was caused by demonstrable error or negligence on the part of Zendip LLC. We do not guarantee approval outcomes.
Refund Process
To request a refund, email support@zendip.org with your engagement reference, the date of engagement, and the reason for the request. We acknowledge all refund requests within two business days.
Approved refunds are processed to the original payment method within ten business days of approval. Bank or processor delays beyond our control may extend this timeline.
Disputes
If you disagree with a refund decision, we encourage you to first engage with us in good faith to resolve the matter. Many disputes can be resolved by clarifying scope expectations or rescoping the engagement. Formal disputes are subject to the governing law and jurisdiction clauses in our Terms and Conditions.
Special Circumstances
We may, at our sole discretion, offer refunds outside of this policy in cases of demonstrable hardship, error on our part, or other exceptional circumstances. Such discretionary refunds do not establish a precedent for future engagements.
